Custom Software Imaging & MDM — Every Rental Device Pre-Loaded, Pre-Enrolled, and Tested Before Delivery

When 80 training laptops arrive and every attendee opens theirs to find the CRM already logged in, the LMS homepage already loaded, and the company wallpaper already set — that is the result of Aria AV’s software imaging and MDM process. Nothing for the attendee to install. Nothing for your team to configure on-site. Everything handled before the device left our facility.

The process

How Aria AV Configures Your Rental Fleet

The imaging process is different for Windows laptops, iPads, and Chromebooks — but the outcome is the same: every device in the fleet is in identical, verified configuration before it ships.

1

Configuration brief from your team

At order confirmation, Aria AV sends a configuration brief form: software list with installer files or download links, licence keys, MDM token or enrollment credentials, network SSIDs and passwords, browser settings, homepage and bookmarks, and any compliance requirements. This is completed by your IT team or event planner. The earlier we receive it, the more imaging time we have before your ship date.

2

Master image or MDM policy build

Windows: Aria AV builds a master image from the base OS with your software stack installed, settings applied, and the device in the state it should be at first attendee power-on. One master image is validated on a single unit before being applied to the full fleet. iPad/iPhone: Devices are enrolled in your Apple Business Manager account, your MDM profile is pushed, and apps are installed via MDM. Chromebook: Devices are enrolled in your Google Admin Console managed domain and your policy is applied — typically same-day. Workstation: For ISV-certified engineering software, driver validation is completed first, then imaging proceeds with the validated driver stack.

3

Fleet-wide image application

The master image (Windows/Mac) or policy (ChromeOS/MDM) is applied to every unit in the fleet. For Windows, this is a cloning process. For Apple MDM and Google Admin Console, configuration propagates automatically after enrollment. For large fleets of 100 or more units, Aria AV uses a rack-based simultaneous cloning setup — all units receive the image in parallel rather than sequentially, which significantly reduces total imaging time.

4

QC test run on every device

Every device in the fleet receives a first power-on QC test: application launches confirmed, MDM profile verified as applied, Wi-Fi connects to a test network matching your event's SSID, browser homepage loads, and any required login is tested with event credentials. Devices that fail QC are re-imaged and re-tested before shipment. A failed device is not placed in a shipping case until it passes QC.

5

Pack with spare units & ship

Configured devices are packed in protective cases with chargers, mice, and accessories. Spare units — identically configured to the same master image — are packed alongside the main fleet and clearly labelled. For multi-city simultaneous deployments, separate cases for each city are packed and labelled at this stage. Pre-addressed return shipping labels are included in each case.

6

Data wipe & device reset on return

Every device is factory-reset to manufacturer defaults on return to Aria AV facilities. Windows hard drives wiped using NIST 800-88 methods. iPads erased via MDM and removed from your Apple Business Manager account. Chromebooks unenrolled from Google Admin Console and storage cleared. No session data, credentials, or application data persists. Data destruction certificates available on request for compliance-sensitive healthcare, government, and financial services events.

FAQ

Custom Software Imaging & MDM — Frequently Asked Questions

  • What is custom software imaging

Custom software imaging means Aria AV installs your required applications, applies your settings, and configures the device so that when the first attendee opens the laptop on event day, it is already in the state you need — no setup, no installation, no login prompts the attendee wasn't prepared for. For Windows laptops this means building a master image with your software stack, applying it across the fleet, and completing a QC run. For Chromebooks it means applying a Google Admin Console policy. For iPads it means enrolling in Apple Business Manager and pushing the device configuration via MDM. Every platform has a different technical process; Aria AV handles all of them.

  • MDM platforms supported

Apple platforms: Apple Business Manager (ABM) enrollment with MDM management via Jamf Pro, Kandji, or Mosyle. Windows platforms: Microsoft Intune (Autopilot), VMware Workspace ONE, and image-based deployment without MDM where appropriate. Chromebook: Google Admin Console (Google Workspace for Education or Business). If your organisation uses a different MDM platform, contact Aria AV to confirm compatibility at the time of order.

  • Proprietary software on rental laptops

Yes, with your software licence. Aria AV installs software using licences you provide — volume licence keys, enterprise licence files, or MDM-pushed app licences. Aria AV does not provide software licences. Once the software is installed and the event ends, the device is factory-reset and the software is removed. If your software requires domain-joined authentication, provide the domain credentials or MDM token at the time of the order.

  • How long does imaging take

For a standard Windows laptop fleet using a provided software list: 3 to 5 business days for imaging, QC, and readiness for shipment. For large fleets of 100 or more units: 7 to 10 business days. For complex configurations requiring ISV-certified driver validation (workstation laptops for engineering simulation software): 7 to 10 business days minimum. For iPads enrolled in Apple Business Manager via MDM: 1 to 2 business days. For Chromebooks via Google Admin Console: same day. Provide your software requirements as early as possible — imaging is the longest step in the pre-event preparation process.

  • Apple Business Manager enrollment

Yes. Provide your Apple Business Manager organisation ID and add the Aria AV device serial numbers to your ABM account before the order ships. Aria AV will then manage MDM enrollment using your chosen MDM platform (Jamf, Kandji, Mosyle, or Apple's own MDM). Devices arrive pre-enrolled with your device configuration profile, apps installed, and supervised mode enabled. At event end, devices are removed from your ABM account and factory-reset.

  • What information is needed for imaging

For Windows laptops: software installer files or download links, licence keys, any required domain credentials or Intune token, network SSIDs and passwords, browser bookmarks and homepage, and any GPO or registry settings. For iPads: Apple Business Manager org ID, MDM server token (if using your MDM), list of apps to install, and device configuration profile. For Chromebooks: Google Admin Console managed domain, policy configuration (which sites, which extensions, which homepage), and Google Workspace credentials if apps require them. Provide all of this at least 3 business days before your required ship date.

  • Data security on device return

All Aria AV rental devices are factory-reset to manufacturer defaults on return to Aria AV facilities. For Windows laptops, the hard drive is wiped using a NIST 800-88-compliant process. For iPads and iPhones, the device is erased via MDM and removed from your Apple Business Manager account. For Chromebooks, the device is unenrolled from Google Admin Console and the storage is wiped. No session data, credentials, or application data persists on the device after the wipe. Aria AV can provide a data destruction confirmation certificate on request for compliance-sensitive orders.

  • Push configuration update after delivery

Yes, for MDM-managed devices. For iPads enrolled in Jamf or another MDM, configuration profile changes and new app installations can be pushed over the air after delivery — no physical access to the device is required. For Windows laptops managed through Intune, policy changes and app deployments can also be pushed remotely. For Chromebook fleets managed through Google Admin Console, policy changes propagate to all enrolled devices automatically at next check-in. For standard-imaged Windows laptops without MDM, remote configuration changes require a technician or a remote session with the device.
