On-Site Event Support — What Your Aria AV Technician Does at a Trade Show or Corporate Event
When a laptop fails mid-session, when a registration kiosk locks up as the first attendees arrive, when a display loses signal five minutes before the keynote — the Aria AV on-site technician is already in the room. This page describes exactly what that person does, from venue setup through teardown, and when you need them.
The On-Site Technician Timeline — Setup Through Teardown
Most event teams never interact with the Aria AV on-site technician during the show itself — because everything was handled before attendees arrived. Here is what happens from the moment the technician reaches the venue to the moment the last case ships back.
Arrive during venue setup — credential check & floor plan review
The technician arrives during the venue's official exhibitor or event setup window with a printed floor plan showing every device position, cable run, and power outlet. They badge into the venue, locate the Aria AV shipment at the loading dock or storage area, and confirm every case is present and undamaged before unpacking begins.
Unpack & asset check every device
Every laptop, iPad, monitor, kiosk, printer, and accessory is unpacked, serial-number checked against the order manifest, and logged. Any shipping damage is photographed and reported immediately. Spare units are identified, set aside at a staging position on the floor, and kept at operating temperature throughout the event — they are not stored in cases.
Stage hardware to floor plan & complete first power-on verification
Every device is positioned according to the floor plan. Laptops are opened and powered on. Monitors and kiosks are connected, displays verified. iPads are placed in stands. Every device receives a first power-on check: operating system loaded, pre-configured apps present, Wi-Fi connected, MDM policy applied, and screen content displaying correctly. Any discrepancy is corrected before the venue opens.
Registration station setup & badge printer connection
For events with iPad registration kiosks and Zebra badge printers: the technician connects badge printers to iPad kiosks via Bluetooth or USB, loads badge stock, prints test badges, and confirms the registration platform is live and syncing. The Aria AV dedicated wireless access point — independent of venue Wi-Fi — is configured and tested at each registration station. A test registration cycle is run before doors open.
Stay on the event floor throughout show hours
During show hours the technician is present on the event floor, visible to your team, and reachable by text or radio. Their job during show hours: monitor for device issues, respond immediately to any failure, execute hot-swaps from the spare inventory, assist exhibitors or trainers who have questions about the rented equipment, and communicate any issues to Aria AV remote support for escalation if needed. They do not leave the floor during session time.
Between-day reconfiguration (multi-day events)
For multi-day events, the technician handles end-of-day tasks: collect all laptops from attendee tables, confirm every device is present, wipe any session data that should not persist to the next day, charge overnight, and verify software configuration is intact for the next morning. If the agenda changes overnight — a session cancelled, a room layout changed — the technician reconfigures hardware before the next morning's first session.
Teardown, pack, & confirm return shipment
After the final session, the technician collects all hardware, checks every serial number against the order manifest, packs devices in the original protective cases, affixes return shipping labels (pre-printed and included with the original shipment), and coordinates handoff to the venue's loading dock or freight carrier. A departure manifest is submitted to Aria AV confirming every item is accounted for.
What the Aria AV Technician Is — and Is Not
One of the most common event planning misunderstandings: the Aria AV on-site technician is not the same person as the venue AV crew. They have different responsibilities, different equipment, and different chains of command. Knowing who does what prevents gaps on event day.

When On-Site Support Is Necessary vs When Remote Works
Remote Support Only
Phone and screen-share troubleshooting throughout your event. An Aria AV technician is available at all times to guide your on-site team through software issues, Wi-Fi reconfiguration, app resets, and display input changes. Included free on all Aria AV orders.
On-Site Technician — Recommended
Dedicated Aria AV technician on-site from setup through teardown. Immediate physical response to any failure. Hot-swap from spare inventory in under 3 minutes. No dependency on your team having technical capability.
Multi-Technician Deployment
Two or more Aria AV technicians for very large deployments — one technician per defined zone, simultaneous setup across multiple rooms or floors, dedicated technician at registration and dedicated technician on the exhibitor floor.
Associate Technician (Secondary Markets)
For events outside Aria AV’s Las Vegas and Chicago primary markets, a certified associate technician is dispatched from the nearest Aria AV partner location. Same setup protocol, same quality standard, same reporting chain as a primary-market deployment.
What On-Site Support Looks Like at a Real Event
80-Attendee NSM — Raleigh Marriott City Center — 4 Simultaneous Breakout Rooms
The order: 80 Dell Latitude 5550 laptops (master-imaged with sales platform and CRM), 4 commercial monitors (presenter displays), 4 iPad registration kiosks with Zebra badge printers, dedicated Aria AV wireless access point, and one on-site technician for two days.
Day before: Technician arrives during hotel setup window, 3pm. Unboxes and asset-checks all 80 laptops plus 4 spares. Powers on every unit, confirms CRM login, confirms Wi-Fi connected to Aria AV access point. Positions 20 laptops per breakout room with chargers at every seat. Connects 4 monitors to presenter tables. Sets up 4 iPad kiosk stations at main entrance with Zebra badge printers. Runs test badge print on all 4. Sends setup complete confirmation to the event planner at 6:45pm.
Day 1: Technician present from 7:30am. Laptop 14 in Room C fails to connect to CRM at 8:05am — technician at the seat within 90 seconds, spare unit in place before 8:10am first session. Badge printer in Station 2 runs out of stock at 10:45am — technician swaps stock from the spare supply. Between-morning and afternoon sessions: collects all 80 laptops, confirms all present, returns to rooms for afternoon.
End of Day 2: Collects all 80 laptops plus 4 spares, confirms all 84 units by serial number, packs into cases, affixes return labels, confirms return pickup with hotel loading dock. Sends departure manifest to Aria AV project manager.
All Things Open 2026 — Atlantic Union Bank Convention Center, Raleigh — 10x20 Island Booth
The order: 6 MacBook Pro M4 demo stations, 2 HP Z640 AI workshop workstations, 2 LED poster displays, 2 iPad lead capture stations, and one on-site technician for setup day plus 2 show days.
Setup day (October 18): Technician works within ATO official setup hours. Positions MacBook Pros on demo tables with custom brand shell loaded on login. Positions HP Z640s at AI workshop stations with model pre-loaded. Mounts LED posters. Configures iPads with iCapture lead capture app connected to exhibitor’s Salesforce. All 10 devices verified before setup hours close.
Show Days (October 19–20): Present from 30 minutes before doors open. Available on the show floor throughout both days. One MacBook Pro M4 develops display flickering on afternoon of Day 1 — hot-swapped from spare before the next demo cycle. Between show days: charges all devices overnight in the booth, confirms lead capture data synced to Salesforce, tests all systems before Day 2 opens.
What to Have Ready Before Your Technician Arrives
The more preparation your team does before setup day, the faster the technician can complete setup and the fewer surprises there are on event day. These are the items that cause the most delay when missing.
- Confirmed floor plan with device positions, power outlet locations, and cable run paths
- Venue contact name and cell phone number for loading dock access
- Exhibitor or contractor badge for technician access on setup day
- Wi-Fi network name and password (or confirmation that Aria AV dedicated access point is the only connection needed)
- Login credentials for any application the technician needs to verify (CRM, LMS, registration platform)
- Badge template finalized and confirmed with registration platform before setup day
- Schedule of sessions and room changes across multi-day events
- Primary event contact reachable by text throughout setup and show days

On-Site Event Support — Frequently Asked Questions
- What technician does at trade show
An Aria AV on-site technician arrives during official venue setup hours and handles: unpacking and asset-checking every device, staging all hardware to your event floor plan, completing first-power-on and software verification on every unit, positioning displays and adjusting cable runs, setting up iPad registration kiosks with badge printers, and being present on the event floor throughout the show for immediate troubleshooting and hot-swap of any failed device. At teardown they collect, inventory, and pack all equipment for return shipment. They are not venue AV crew — they are responsible only for Aria AV equipment.
- When is on-site support required
Remote support (phone and screen share) handles most software issues — an app that needs a configuration change, a display that lost its input, a Wi-Fi credential that changed. On-site support becomes necessary when: (1) you have 20 or more devices and cannot afford setup time delays, (2) any device hardware fails and needs physical hot-swap, (3) your event is multi-day and equipment needs to be moved or reconfigured between days, (4) you are running a registration station where a failure immediately stops attendee flow, or (5) your event has an executive audience where a visible problem is unacceptable.
- Technician arrival time
Aria AV technicians arrive during the venue's official exhibitor or event setup window — typically the morning before opening day or the evening prior for early access. For trade shows at the Atlantic Union Bank Convention Center, Kansas City Bartle Hall, SAFE Credit Union Convention Center, and similar venues, the technician works within the convention centre's official setup schedule. For hotel NSMs, the technician arrives 90 minutes before the first session begins. Lead times and access windows are confirmed with the venue at the time of order.
- Technician for multi-room NSM
Yes. For multi-room NSM deployments with simultaneous breakout sessions at Loews Kansas City, Raleigh Marriott City Center, Sheraton Grand Sacramento, and similar convention hotels, one Aria AV technician manages the full fleet across all rooms. Before the first session, all rooms are checked and confirmed ready. During the event, the technician is on call across all rooms and can hot-swap any failed device within minutes without interrupting the session.
- 24/7 multi-day event support
Yes. For multi-day events, Aria AV provides a technician on-site during all event hours and remote phone support outside event hours. If a device fails overnight between event days, the technician arrives before the next morning's first session to inspect, reconfigure, or swap the device before attendees arrive. For very large deployments, an overnight technician can be quoted as an add-on.
- Device failure during live session
The hot-swap protocol: spare units ship identically configured with every Aria AV order over eight devices. A failed device is swapped with a spare in under 3 minutes — the spare is already at temperature, already logged in, and already configured. The failed unit is set aside for diagnosis after the session ends. If spare units are exhausted (extremely rare), the on-site technician attempts live troubleshooting without interrupting the session. If the device cannot be recovered, Aria AV contacts regional logistics for same-day replacement.
- On-site support pricing
On-site technician support is quoted as a separate line item from the hardware rental. The technician rate covers a defined setup window plus all event hours on a per-day basis. Travel and accommodation for events outside major metropolitan areas are discussed at time of quote. Remote phone support is included at no additional charge on all Aria AV orders.
- On-site support secondary markets
Yes. Aria AV's nationwide associate network covers events in all 50 states, including markets outside Aria AV's Las Vegas and Chicago hubs. For events in secondary markets, a local associate technician is deployed from the nearest Aria AV partner location. The same setup protocol and quality standards apply regardless of market.
